Some owners like to know roughly what a session material looks like before signing up. Below are short excerpts from the same formats used in the room: a proposal opening, a walkthrough note sheet, and a checklist section, along with commentary on why each one is built the way it is.
"Having walked the second and third floor corridors on July 9th, our scope reflects the vinyl composition tile in the break rooms and the higher-traffic carpet near the west entrance, rather than a single blended rate across the building."
This kind of opening line signals to the reader that the walkthrough actually happened and shaped the pricing, rather than being a formality before a standard rate sheet.
"Restroom supply levels checked and restocked, floor drains inspected for standing water, mirror and fixture streak check completed, notes shared with site contact same day."
Notice the last item: sharing notes with the site contact the same day. That habit is what turns a routine internal checklist into something a client sees as active communication rather than paperwork they never encounter.
"Ask about current pain points with existing vendor before mentioning price. Note flooring types by area. Ask who signs off on monthly invoices, not just who scheduled the walkthrough."
The note sheet is built around questions in a deliberate order. Pricing comes up only after the pain points are understood, so the eventual proposal can speak directly to what is already frustrating the client.
